PRIVACY STATEMENT

General Data Protection Regulations – GDPR

These regulations replace the Data Protection Act 1998 and come into force 25 May 2018

As a Membership Society and Club we hold personal data. We have a legal responsibility to treat the data with respect and to hold the data securely.

Personal data must be:

  • Fairly and lawfully processed

  • Processed for limited purposes

  • Adequate and relevant and limited to what is necessary

  • Adequate and where necessary up to date

  • Not kept in a way that people can be identified from it for longer than is necessary

  • Processed in a way that ensures appropriate security


The data we hold for Members of Pulborough Angling Society is:

  • Name

  • Address

  • Email

  • Telephone Number/s


How it is stored;

This is stored in computerised records on the club computer, which is not connected to the Internet and has McAfee LiveSafe installed. All hard copies are kept securely.

We require this information as a club to know whom our members are and is used for mailing newsletters and communication purposes only. It is not available to anyone outside the Society and is held by the Membership Secretary.

All personal data will be deleted for lapsed memberships at the end of the following season for ease of re-joining. The hard copies of the membership form are shredded annually prior to the start of the next season.

Our website contains links to third party websites, if you follow a link to any of these websites, then please be aware that these websites have their own privacy polices and that we do not accept any liability or responsibility for the polices operated by these websites.  Please check their privacy polices before you submit personal information to any third party website.

We use Google Analytics to monitor traffic and trends to/on our website, this service does not collect any personally identifiable information.

We do not use tracking cookies or gather information about people via our website.

Match Results:
 

Under your Right To Be Informed, all competition entrants are advised that match results are published on our website and Facebook page, if you prefer not to have your name published, please inform the Match Secretary before the match starts so your choice can be recorded.

Email addresses are shared with the Chairman/Secretary to enable them to communicate important issues, events etc to the membership .

If you object to your details being held on the computer please contact the Membership Secretary in writing.

Privacy rights of individuals

Data subjects have:

  • The right to be informed - how we keep your data

Children’s personal data

Decisions regarding the personal data of anyone under 13 years of age must be taken by the child’s parent, guardian or anyone appointed in law to fulfil that role. If you are over 13, but under 18 and are unclear about anything we have said in this statement, please get in touch with us and we can try and make things clearer.

We may change this policy from time to time by updating this page.

 

Privacy Policy addition
 

Exceptionally during the Covid 19 pandemic lockdown, we will allow the previous years application form to join the society subject to the following conditions:

  • The member renewing their membership had signed the application in the previous year

  • They provide confirmation by email stating that they have read, understand and are happy with the GDPR statement/policy

  • They confirm all details held by the membership secretary are up to date

 

Covid19 Test & Trace

Covid19 Test & Trace forms will be stored electronically on our cloud account and your details will not be used for any other purpose than Test & Trace, nor will your details be passed to any individual or organisation unless required by the lawful authorities of the United Kingdom for Covid19 Test & Trace purposes. If you object to your details being stored then we must ask you to leave the venue and you may not partake in the work party or event being held. Forms will be deleted one month after the event for which they were completed.
